Set up quality control
The Quality Control Setup page is the central configuration point for the Aptean Quality Control for Food and Beverage (BC) extension. Use it to configure number series, data loading behavior, trigger evaluation rules, image storage, and app behavior.
To open the page, select the Search icon
, enter Quality Control Setup, and choose the related link.
General FastTab
| Field | Description |
|---|---|
| Reason Code Change Inspection Status | Specifies the reason code assigned when the inspection status of a batch changes after a quality check is completed. Only visible when the Aptean Inspection Status extension is installed and inspection tags are not enabled. |
| QC Data Load Period | Specifies how far back posted quality checks and quality actions are loaded in the Quality Control app. Enter a date formula such as 10D for 10 days. If left blank, the system defaults to 7 days. |
| Date Source | Specifies whether the system uses the actual calendar date or the Business Central work date to populate the creation date on quality checks and the completion date on posted quality checks. Defaults to Actual Date. |
| Location Matching Method | Specifies whether the system uses the work center location or the production order line location when evaluating quality control triggers for production orders. Defaults to Work Center Location. |
| Transfer Order Location Reference | Specifies whether the system uses the transfer-from or transfer-to location when evaluating quality control triggers for transfer orders. Defaults to Transfer-from Code. |
| Default QC Team | Specifies the quality control team that is pre-populated when a user creates an ad-hoc quality check from the Quality Control App. Leave blank to require the user to select a team each time. For more information, see Create ad-hoc checks. |
The Date Source setting does not apply to quality control checks created from purchase receipts through the Aptean Mobile Warehouse app.
Number Series FastTab
Assign a number series to each document type. When selecting a number series, choose Select from the full list and ensure the Default Nos. checkbox is selected.
| Field | Description |
|---|---|
| Quality Check Nos. | Specifies the number series used to assign numbers to quality checks. |
| Quality Action Nos. | Specifies the number series used to assign numbers to quality actions. |
| Posted Quality Check Nos. | Specifies the number series used to assign numbers to posted quality checks. |
| Posted Quality Action Nos. | Specifies the number series used to assign numbers to posted quality actions. |
| Quality Plan Nos. | Specifies the number series used to assign numbers to quality plans. |
| Quality Action Plan Nos. | Specifies the number series used to assign numbers to quality action plans. |
| Quality Option Nos. | Specifies the number series used to assign numbers to quality options. |
Attributes FastTab
These fields specify which Advanced Attributes are used when evaluating attribute-based quality control trigger conditions. Selecting an attribute ID automatically populates the corresponding name field.
| Field | Description |
|---|---|
| Item Attribute | Specifies the item attribute used for quality control trigger evaluation. |
| Customer Attribute | Specifies the customer attribute used for quality control trigger evaluation. |
| Vendor Attribute | Specifies the vendor attribute used for quality control trigger evaluation. |
| Item Attribute Name | Displays the name of the selected item attribute. Read-only. |
| Customer Attribute Name | Displays the name of the selected customer attribute. Read-only. |
| Vendor Attribute Name | Displays the name of the selected vendor attribute. Read-only. |
Quality control triggers evaluate against only the single attribute selected here for each entity type, so choose an attribute whose values map cleanly to how you want to group items, customers, or vendors for quality control. If no existing attribute fits, or the closest match is already used for other business purposes, create a new attribute dedicated solely to quality control triggers. A dedicated attribute keeps trigger behavior predictable and lets you adjust its values as your quality requirements change without affecting other processes.
Blob Storage FastTab
By default, images captured during quality checks are stored in the Business Central database. You can redirect image storage to Azure Blob Storage to reduce database size and storage costs.
| Field | Description |
|---|---|
| Account Name | Specifies the name of the Azure Blob Storage account. |
| Container Name | Specifies the name of the Azure Blob Storage container where images are stored. |
| Access Key | Specifies the secret key used to authenticate with the Azure Blob Storage account. This value is masked after entry. |
| Use Azure Blob Storage | When turned on, quality control images are stored in Azure Blob Storage rather than the Business Central database. The Account Name and Container Name fields must be populated before this option can be turned on. |
You cannot turn off Use Azure Blob Storage while quality checks with status New or In Progress exist.
For more information, see Upload, download, and list blobs with the Azure portal and Manage blob containers using the Azure portal.
Settings FastTab
| Field | Description |
|---|---|
| Hide image preview in Quality Control App | When turned on, image previews are hidden when users access questions that contain images during quality control checks. |
| Require acceptance of default answers in Quality Control | When turned on, users must explicitly accept default answers in the Quality Control app rather than having them applied automatically. |
| Show Quality Check Completion Message | When turned on, posting a quality check displays a result summary showing the posted check number, result, score, and number of quality actions created. When turned off, the app redirects directly to the posted quality check after posting. |
| Evaluate QC on Non-Routed Output | When turned on, evaluates QC triggers when posting production output that is not associated with a routing operation, such as co-products, unplanned output, or output on family production order lines that do not have a routing. When turned off (default), QC triggers evaluate only outputs tied to a Work Center or Machine Center routing operation. |
When Evaluate QC on Non-Routed Output is turned on and a co-product output line does not specify a Work Center, the system derives the Work Center from the final operation of the production order line's routing and uses it to evaluate Work Center-scoped triggers. If the production order line has no routing, only triggers configured with a blank Source (Work Center) are evaluated, and no error is raised.
Formula Settings FastTab
| Field | Description |
|---|---|
| Formula Rounding Precision | Specifies the precision to which formula results are rounded in quality control checks. Enter a decimal value such as 0.1, 0.01, or 0.001. Defaults to 0.01. |
Actions
| Action | Description |
|---|---|
| Related > Create Quality Control Check | Opens the Create Quality Control Check report, which creates quality control checks based on document criteria you specify. |
| Schedule Inventory Quality Checks | Creates the job queue entry that evaluates Inventory quality control triggers, or navigates to the existing entry if one is already set up. For more information, see Create recurring checks. |
Set up retention policies for quality control checks
You can use the standard Business Central retention policy framework to automatically delete old quality control checks on a scheduled basis. The Quality Control Check Header table is registered with the framework and is available when defining retention policies.
To set up a retention policy for quality control checks:
- Select the Search icon
, enter Retention Policies, and then choose the related link. - Select New to create a new retention policy.
- In the Table ID field, select the Quality Control Check Header table.
- Configure the retention period and any filters as required.
- Turn on the Enabled toggle to activate the policy.
The policy runs automatically through the job queue according to the schedule defined in BC. For more information on configuring retention policies, see Define Retention Policies in the Business Central documentation.
We recommend adding a retention policy line filtered to Quality Status = New to ensure only stale, unstarted checks are removed. Without this filter, the policy may delete quality checks that are currently in progress.
