Create ad-hoc checks
An ad-hoc quality control check is created on demand by a user, rather than automatically by a trigger, follow-up rule, or recurring job. Ad-hoc checks are useful when an unscheduled inspection is needed — for example, when a specific lot needs to be re-tested, or when a quality concern is raised against an existing source document.
You can create an ad-hoc check from any of the following entry points:
- The Quality Control Checks list
- A source document (purchase order, sales order, warehouse document, etc.)
- A lot information card
- The Create Quality Control Check report
- The Quality Control App header + button
From the Quality Control Checks list
Use this entry point to start a check from scratch when there is no specific source document or lot to attach.
- Select the Search icon
, enter Quality Control Checks, and choose the related link. - On the action bar, select New. The Quality Control Check card opens.
- On the General FastTab, select a plan in the Quality Control Plan field and a team in the Quality Control Team field.
- On the action bar, select Actions > Calculate Lines. The system populates the Lines FastTab from the selected plan.
Once Calculate Lines is run, do not change the Quality Control Plan field. The existing lines no longer match the new plan, which causes the check to fail at posting.
From a source document
Use this entry point to attach the check to a specific business document. The supported source documents are:
- Sales — sales order, sales return order
- Purchasing — purchase order, purchase return order
- Warehouse — warehouse receipt, warehouse shipment
- Transfers — transfer order
- Production — released production order
Create the check
- Open the source document.
- On the action bar, select Actions > Create Quality Control Check. To create the check against a specific line, select Functions > Create Quality Control Check from the Lines FastTab instead. On Warehouse Receipt and Transfer Order pages, select Line > Create Quality Control Check from the Lines FastTab.
- On the Create Quality Control Check dialog, select a team in the Quality Control Team field and a plan in the Quality Control Plan field. Optionally select a Location Code and Work Center Code.
- Select OK, then confirm at the prompt.
A check created from the document header is not associated with a specific item or lot. A check created from a line is associated with the item and lot on that line.
From a lot card
Use this entry point to attach the check directly to a lot when the inspection is about the lot itself rather than a specific source document.
- Select the Search icon
, enter Lot No. Information List, and choose the related link. - Select the relevant lot.
- On the Lot No. Information Card page, on the action bar, select Actions > Create Quality Control Check.
- Complete the Create Quality Control Check dialog as described in From a source document.
From the Create Quality Control Check report
Use this entry point to generate a standalone check that is not tied to a specific source document or lot — for example, a general process or hygiene check. The report can be run manually or scheduled to run automatically.
To open the report, select the Search icon
, enter Create Quality Control Check, and choose the related link. Alternatively, on the Quality Control Setup page, select Related > Create Quality Control Check.
On the report:
- Select a team in the Quality Control Team field.
- Select a plan in the Quality Control Plan field.
- Optionally select a Location Code and Work Center Code.
- Select OK to create the check immediately, or select Schedule to run the report on a job queue schedule.
From the Quality Control App
You can create an ad-hoc quality control check without leaving the Quality Control App using the + button in the app header.
- Open the Quality Control App page.
- In the header, choose the + button. The Create Quality Control Check dialog opens.
- In the QC Team field, select or confirm the quality control team. If a default QC team is configured on the Quality Control Setup page, this field is pre-populated.
- In the QC Plan field, select a quality control plan. Only certified plans with an effective date on or before today are listed.
- Optionally, specify the Source Type (Customer, Vendor, or Work Center) and Source No., and any of the Work Center, Location, Item, or Lot No. fields to link the check to a source entity.
- Choose OK to create the check.
After the check is created, a confirmation appears with the check number. Choose Yes to navigate directly to the new check's detail view, or No to return to the check list.
The + button is available to all users with quality control create permissions.
