Quality control triggers

Quality Control (BC)  •  Article  •  9/23/2026  •

Quality control triggers define when the system automatically creates a quality check. Each trigger links a document type and action (the event that fires the check) to a plan and team (what gets checked and who checks it). Filters on location, item, and source narrow which documents match the trigger.

To open the list, select the Search icon , enter Quality Control Triggers, and choose the related link.

Trigger points

The following trigger points are available for each document type.

Document TypeTrigger Points
Sales OrderWhen releasing a sales order
Sales ShipmentWhen creating or releasing a sales shipment
Sales Return OrderWhen releasing or posting a sales return order
Sales Return ReceiptWhen creating or posting a sales return receipt
Purchase OrderWhen releasing or posting a purchase order
Purchase ReceiptWhen creating or posting a purchase receipt
Purchase Return OrderWhen releasing a purchase return order
Purchase Return ShipmentWhen creating or releasing a purchase return shipment
Transfer OrderWhen releasing or posting a transfer order
Transfer ShipmentWhen creating or releasing a transfer shipment
Transfer ReceiptWhen creating or posting a transfer receipt
Production OrderWhen posting production order output. With the Shop Floor Production extension: also when starting or stopping a work center, on work center failure, when starting or finishing a production order, or at recurring time or output quantity intervals.
Inspection StatusWhen a lot's inspection status matches or is updated to the configured status.
InventoryWhen a lot has been held at a location or bin for the configured recurring interval. Evaluated by a scheduled job rather than a document event — see Create recurring checks.

Fields

FieldDescription
Document TypeSpecifies the document type that fires the trigger. Options:
  • Sales Order
  • Sales Shipment
  • Sales Return Order
  • Sales Return Receipt
  • Purchase Order
  • Purchase Receipt
  • Purchase Return Order
  • Purchase Return Shipment
  • Transfer Order
  • Transfer Shipment
  • Transfer Receipt
  • Production Order
  • Inspection Status
  • Inventory
Inspection Status is available only when the Aptean Inspection Status extension is installed. Selecting Inventory automatically sets Document Action to Recurring Time, Quality Check Type to Item, and Per Lot to selected.
Document ActionSpecifies the specific action on the document that fires the trigger. Select the AssistEdit button to choose from the Quality Control Trigger Actions page. Available actions depend on the selected Document Type. Not available for Inspection Status — checks fire on status assignment rather than a document action. For Inventory, Recurring Time is the only available action.
Document Action CaptionRead-only. Displays the name of the selected document action.
Location TypeSpecifies whether the trigger applies to all locations or a specific location. Options:
  • Location
  • All Locations
Selecting All Locations clears Location Code and Bin Code.
Location CodeSpecifies the location this trigger applies to. Editable only when Location Type is Location. For the Start Work Center, Stop Work Center, and Failure Work Center document actions, the field value is compared to the work center's own Location Code field value when the trigger fires; leave blank to match every location.
Bin CodeSpecifies the bin to evaluate. Leave blank to evaluate all bins in the location. Editable only when Document Type is Inventory. A Location Code must be entered first, and the field must be blank when Location Type is All Locations.
Quality Check TypeSpecifies whether the triggered check is item-specific or general. Options:
  • Item
  • General
See Quality Check Type constraints below.
Item TypeSpecifies which items the trigger applies to. Options:
  • Item
  • Item Attribute
  • All Items
Editable only when Quality Check Type is Item.
No.Specifies the item or item attribute number. Editable only when Item Type is Item or Item Attribute.
NameRead-only. Displays the name of the item or item attribute selected in No.
Source TypeSpecifies the source (customer, vendor, or work center) this trigger applies to. Available options depend on the Document Type — see Source Type by document type below. Not available for Transfer or Inspection Status document types.
Source No.Specifies the specific customer, vendor, or work center this trigger applies to. Not available for Transfer or Inspection Status document types.
Source NameRead-only. Displays the name of the source selected in Source No.
Inspection StatusSpecifies the inspection status that fires this trigger. Required when Document Type is Inspection Status. Available only when the Aptean Inspection Status extension is installed.
TeamSpecifies the quality control team assigned to checks created by this trigger. Required.
Plan CodeSpecifies the quality control plan used when creating checks. Required.
Plan CertifiedRead-only. Indicates whether the selected plan is certified.
Plan EffectiveRead-only. Indicates whether the selected plan is currently effective based on its effective dates.
Finished Before Posting DocWhen selected, the related document cannot be posted until all quality checks created by this trigger are completed or deleted. For Production Order triggers, the behavior varies by action — see Production Order actions below.
Create Single Start QC CheckControls whether the Start Production Order trigger creates a check only once per production order or every time the order transitions back to a started state. When selected, a check is created the first time the production order is started. If the order is subsequently stopped or paused and then restarted, no additional check is created — the original check already covers this production order. When cleared, a new check is created each time the order moves from a stopped or paused state back to running. Available only when Document Action is Start Production Order.
Allow Multiple Open ChecksWhen selected, the system can create multiple open quality checks for the same production order. Available only when Document Type is Production Order.
Per LotWhen selected, the system creates one quality check per lot number on the document. Editable only when Quality Check Type is Item. Always active for Inspection Status (checks are inherently lot-specific). For Inventory, the field is set automatically and is read-only, because inventory triggers only evaluate lot-tracked items.
Recurring PeriodSpecifies the time unit for recurring checks. Options:
  • Minute
  • Hour
  • Day
Available for:
  • Production Order triggers with Document Action Recurring Time and Source Type Work Center or All Work Centers. Requires the Shop Floor Production extension.
  • Inventory triggers. The period must be Day.
Recurring ValueSpecifies the interval between recurring checks. What the value counts depends on the document action:
  • For Recurring Time, the number of recurring periods. For example, Recurring Period Hour with Recurring Value 4 creates a check every four hours.
  • For Recurring Output Quantity, the output quantity increment. For example, 100 creates a check every 100 units produced.
Available for:
  • Production Order triggers with Document Action Recurring Time or Recurring Output Quantity and Source Type Work Center or All Work Centers. Requires the Shop Floor Production extension.
  • Inventory triggers.
Create First Recurring Check on StartWhen selected, the first recurring check is created as soon as the operation is started in Shop Floor Production, rather than waiting for the first interval to pass. The recurrence baseline is set at that moment, so the next check falls due one Recurring Value later. When cleared, no check is created at start — the first check is created once the recurring interval or output quantity increment is first reached. The initial check is created only once per production order routing line, so stopping and restarting the operation does not create another. Available only when Document Type is Production Order and Document Action is Recurring Time or Recurring Output Quantity. Requires the Shop Floor Production extension.

For Production Order triggers, the Per Lot field should be selected when the Document Action is Post, and cleared for all other Production Order document actions.

Production Order actions

The Post action is available with or without the Aptean Shop Floor Production extension, however the following actions require Shop Floor: Start Work Center, Stop Work Center, Failure Work Center, Start Production Order, Finish Production Order, Recurring Time, and Recurring Output Quantity.

The Finished Before Posting Doc field behaves differently depending on the action:

  • For Post, Start Production Order, Recurring Time, and Recurring Output Quantity — prevents finishing the production order in Shop Floor Production until all associated quality checks are completed or deleted.
  • For Finish Production Order — the check is created by the finish action itself, so it cannot block finishing in Shop Floor Production. Instead, it prevents posting the production order in Business Central until the check is completed or deleted.
  • For Start Work Center, Stop Work Center, and Failure Work Center — prevents starting work centers when open quality checks already exist for that production order.

A trigger linked to a released production order routing line cannot be deleted until the routing line is removed or the order is completed.
