Set up shop floor production

Shop Floor Production  •  Article  •  9/23/2026  •

The following steps outline the shop floor production setup. Select the Search icon , enter Shop Floor Production Setup, and then choose the related link.
The Shop Floor Production Setup page opens.

General

  1. Enter a value in the Date Formula Show Prod. Orders field to define the period length used to determine which production orders are visible in Shop Floor Production. This field accepts standard date formulas from Dynamics 365 Business Central. If the field is left blank, the system will use one day as the default period.
  2. In the Default No. of Operators field, select the value to update the Operators field value on production orders automatically. The default value of this field is 1.

When changing the Default No. of Operators value, a confirmation dialog appears:

    • Selecting Yes updates the No. of Operators field for all production orders with the status Not Started to the new default value.
    • Selecting No does not update any existing production orders, and the new default value will only apply to newly created production orders.

When the Default No. of Operators field is set to Concurrent Capacities, the No. of Operators value is derived from the Concurrent Capacities field on the Prod. Order Routing page. If the Concurrent Capacities value is a decimal number, the No. of Operators field on the Input page will display 0.

  3. In the Job Queue Category Code field, choose the code from the dropdown menu which is used for the Job Task that creates recurring Quality Checks.

  4. In the Display Barcode on Production Order Screen field, select an option from the dropdown to specify the type of barcode to be displayed on the Production Order screen of the Shop Floor Production. The options are:
    • Do not display – In this case, neither barcode nor QR code will be displayed on the Production Order screen.
    • Display Barcode – A barcode will be displayed on the Production Order screen.
    • Display QR Code – A QR code will be displayed on the Production Order screen.
  5. The Allow Manual Input of License Plate Number toggle (labeled Allow Manual Input of Package Caption when neither the Aptean License Plating extension is installed nor the Aptean Beverage Advanced Warehouse Management extension is enabled) can be turned on to allow the license plate or package field on the Register Output screen of Shop Floor Production to be entered manually for a tracked item.

Using the manual mode, you can enter any license plate number. Use caution to input accurate information and avoid potential issues.

  6. In the Output Display Mode field, select how registered output quantities are shown on the Output tile for multi-stage production orders. The available options are:

    • Total – The Output tile shows the aggregated finished goods quantity for the entire production order. This is the default value.
    • Routing Specific – The Output tile shows the output quantity registered at the routing line associated with the current work center. For non-final routing lines, the registered quantity is based on Capacity Ledger Entries. For the final routing line, the registered quantity is based on Item Ledger Entries for finished goods output.

The system determines whether a routing line is the final routing line by checking whether it has the highest Operation No. in the routing. This field does not apply to family production orders, which always show the total output quantity.

  7. Turn on the Allow Edit Lot Production Date field to allow manual editing of the lot production date in the production order details and output registration. When the field is turned off, the lot production date is visible in lists but not editable. This field is visible only when the Aptean Expiration Management extension is installed. For more information, see Register output.

  8. Turn on the Restrict Consumption Bin toggle to restrict available inventory for consumption to only the bin specified on the production order component line.

  9. In the Default Report Selection field, select the desired option to generate reports. The available options are:

    • Job Card
    • Mat. Requisition
    • Shortage List
    • Batch Worksheet
    • Report Selection

The default value is set as Job Card. For more information, see Generate reports.

The Batch Worksheet option is visible only when the Aptean Process Manufacturing extension is installed.

  10. In the Auto Refresh Interval field, enter the desired time interval in seconds to refresh data on the Shop Floor Production page automatically.
  11. In the Auto Refresh Idle Timeout field, enter the desired idle timeout in minutes, after which automatic refresh will be suspended. For more information, see Configure auto-refresh settings.

  12. In the Default Search Behavior Navigation field, select the appropriate option from the dropdown. This setting determines which screen you are taken to when searching for a production order in Shop Floor Production. When you enter a keyword in the search bar and press Enter, the system redirects you based on the selected navigation behavior:

    • Production Order - Opens the Production Order Overview page.
    • Input - Opens the Register Input page. If multiple components are found, the Input list page is displayed.
    • Output - Opens the Register Output page. If multiple outputs are found, the Output list page is displayed.
    • This functionality works when you enter a production order number and press Enter in the search bar. If you don't press Enter, the search bar functions as a filter. This behavior also supports the use of wedge scanners to scan barcodes of production order numbers.
    • You can scan production orders with statuses other than Production, but you must change the status to Production before registering inputs or outputs.
  13. Turn on the Prevent Finish Navigation toggle to stay on the production order after marking it as Finished when selecting the Finish button. The system refreshes the production order instead of navigating back to the Production Orders list page. You can perform follow-up tasks, such as reviewing quality checks or printing instructions, without leaving the page.
Finished production orders opened from the Production Orders list view directly open in read-only mode with only relevant actions enabled (For example, PO details, work instructions, and quality checks).

When a production order is marked as Finished using the Finish button, the button label automatically changes to Reopen. Users can select the Reopen button to reopen the finished order and perform specific actions such as reviewing quality checks or making further updates.

  14. Turn on the Disable Registration Correction toggle to globally prevent shop floor users from correcting previously registered consumption or output. You can override this option per user/work center combination. For more information, see Set up work centers.
  15. Turn on the Disable Auto Focus on Search Bar toggle to prevent Shop Floor Production from automatically placing the cursor in the search bar on the Production Order List page.
  16. Turn on the Enable SFP in BC toggle to enable the Aptean Shop Floor Production extension features in Business Central and disable the Shop Floor Production Power App.
For more information, see Migrate from Aptean Shop Floor Production Power App.

Quality Control

  1. In the Max Recurring Quality Checks field, enter the number of recurring quality checks that may exist in an open status per production order routing line and quality trigger. When the maximum number is reached, no new recurring quality checks are created for the routing line by the Aptean Quality Control extension. If the value entered is zero, there is no limit to the maximum number of quality checks. The maximum value applies to both trigger actions Recurring (Time) and Recurring (Output Quantity).

There are two versions of the Max Recurring Quality Checks option depending on which Quality Control app is installed.

  1. Turn on the Limit Quality Check Count by Work Center to only show quality checks matching the user’s work center on the Quality Check tile.

  2. In the Default QC Team field, select the quality control team that is pre-populated when an ad-hoc quality check is created from the Production Order Overview page in Shop Floor Production. The user can change the team in the ad-hoc quality check modal. This field is visible only when the Aptean Quality Control (BC) extension is installed. For more information, see Integration with Aptean Quality Control (BC).

  3. Turn on the Return to SFP After QC Post toggle to close the Quality Control App automatically and return to the production order after a Quality Check is posted successfully, instead of opening the Posted Quality Check page. This field is visible only when the Aptean Quality Control (BC) extension is installed.

Outputs

  1. In the Lot No. Per field, choose how a lot number is assigned to output lines during output registration:

    • Production Order: The same lot number is assigned to all output lines in the production order.
    • Output Journal: A different lot number is assigned to each output registration in the production order.
    • User Defined: This method offers more flexibility. You can manually change the suggested lot number on the Register Output page using the Generate new lot no. button.

If the Manual Nos. checkbox is selected on the No. Series page of the lot number setup, users can manually edit the lot number on the Register Output page in Shop Floor Production.

When an item with a lot number profile is produced, the lot number assigned to the related output lines is based on the lot number profile setup. For more information, see Create Lot No. with Lot No. Profile.

You can also configure lot number persistence behavior for individual items. In the Lot No. Per field on the Replenishment FastTab of the Item Card page, select the lot number assignment method for a specific item. When configured, the item-level setting overrides this global setting during output registration. When the Lot No. Per field value on the Item Card page is left blank, this global setting applies.

  2. Use the Output Lot Preview field to control when lot numbers are retrieved from the number series during output registration:

    • Increment No. Series: The lot number is retrieved and reserved immediately when the Register Output page opens. The number series increments each time, based on the Lot No. Per setting above.
    • Peek No. Series: The Lot No. field displays the next available number from the series, but does not reserve it until the registration is posted.

When using Peek No. Series, if another process registers a lot number before you complete your registration, the displayed lot number may no longer be available. A different lot number will be assigned when you post.

    • None: The Lot No. field remains empty when the Register Output page opens.
  • When the Lot No. Per field value is set to Production Order or Output Journal, trying to select the None option in the Output Lot Preview field will yield an error.
  • When the Lot No. Per field value is set to User Defined, trying to select the Peek No. Series option in the Output Lot Preview field will yield an error.
  1. In the Output Expiration Date Calc. field, select an option by which the expiration date is calculated in Shop Floor Production. The options are:

    • Routing Start Date – The expiration date will be calculated based on the date value in the Starting Date –Time field of the last routing line in the Prod. Order Routing page associated with the production order line.
    • Posting Date - The expiration date will be calculated based on the work date.
    • Item Expiration Setup - The expiration date is calculated based on the selection made in the expiration setup for specific items. This option is available only when the Aptean Expiration Management extension is installed in conjunction with the Aptean Shop Floor Production extension. To know more, see Item Expiration Setup.
  2. Turn on the Allow Edit of Output Bin field to let users change the output bin during production output registration in Shop Floor Production. When the field is turned on, users can select any valid bin at the location; when it is turned off, the bin code from the production order line is used. For more information, see Register output.

Lot Attributes

The Lot Attributes FastTab is visible only when the Aptean Advanced Attributes extension is installed.

  1. In the Display Lot Attribute 1 field, select the first attribute to display when registering consumption in Shop Floor Production.
  2. In the Display Lot Attribute 2 field, select the second attribute to display when registering consumption.
  3. In the Display Lot Attribute 3 field, select the third attribute to display when registering consumption.

The selected attribute values appear below the standard quantity, expiration date, and bin details in the consumption Lot No. dropdown on the Register Input page. For more information, see Register consumption.

Performance

  1. Turn on the Hide Image Previews in SFP toggle to replace images of items with simple placeholder icons to reduce loading time in the Production Orders list page.
  2. Turn on the Enable Row Virtualization toggle to improve performance when you work with large production order lists. The system renders only the visible rows on the Production Orders list page, which makes scrolling and navigation faster.
When the toggle is turned off, the system automatically scrolls to the previously selected production order when returning to the Production Orders list page.

Posting

  1. In the Output Journal Template Name field, select the journal template to use for posting output and time entries.
  2. In the Time Entries Error Journal Batch Name field, select the error journal batch to use for storing time entries which error during posting.
  3. In the Consumption Journal Template Name field, select the journal template to use for posting consumption.
  4. Turn on the Post Time Shop Floor toggle to require the posting of time entries as capacity entries. See shop floor production registration entries for more information.
  5. In the Production Registration Entry Nos. field, select the number series to be used when shop floor production registration entries are created.
  6. In the Capacity Unit of Measure Minutes field, select the Unit of Measure Code which reflects minutes. The labor durations stored on time entries from Shop Floor Production are in minutes.

When you execute the Post Shop Floor Production Time Entries action for a released production order, the system uses the Capacity Unit of Measure value configured on the related work center. The system then calculates the labor cost by multiplying the labor duration by the direct unit cost configured on the labor work center.

  1. Turn on the Auto Print Label on Output Registration toggle to automatically select the Print Label checkbox on the Output Registration page, ensuring labels are printed upon output registration. If you prefer not to print labels automatically during production, you can manually deselect the checkbox during output registration.
  2. In the Consumption Correction Destination Bin field, select where the system will return product after a consumption correction. The available options are:

    • Component Bin: Returns the product to the bin defined on the production order component line.
    • Original Bin: Returns the product to the bin from which it was most likely consumed. The system uses a best-match approach to determine the bin, based on attributes such as item number, variant code, lot number, location code, and production order details on the Warehouse Entries page. While the selected bin is typically accurate, this method does not guarantee an exact match to the original bin used during consumption.

If the Restrict Consumption Bin toggle is turned on, you cannot change the Consumption Correction Destination Bin field value. The system defaults to the Component Bin option. You must turn off the Restrict Consumption Bin toggle to make changes in the Consumption Correction Destination Bin field.

  3. Turn on the Allow New License Plate in Consumption Correction toggle to specify whether a new license plate can be assigned during consumption correction instead of the license plate used in the original consumption. The system applies the correction to the original license plate and then moves the corrected quantity to the specified license plate.

  4. In the Consumption Correction Reclassification Journal Template Name field, select the name of the journal template used for posting reclassification journal entries related to consumption correction.

The above toggle and field are visible only when the Aptean Beverage Advanced Warehouse Management extension, Drink-IT Edition, is installed.

  1. The License Plate Consumption Mode field (labeled Package Caption Consumption Mode when neither the Aptean License Plating extension is installed nor the Aptean Beverage Advanced Warehouse Management extension is enabled) is visible whenever the Aptean Beverage Advanced Warehouse Management extension is not enabled. In it, you can specify how the system processes entire license plate consumption for production orders. The available options are:

    • Disabled: The + LICENSE PLATE button is hidden, and the entire license plate consumption feature cannot be used.
    • Strict: The system prevents posting if any item or quantity differs from the production order component requirements.
    • Allow Quantity Difference: The system registers the quantities on the license plate exactly, allowing over- or under-consumption.
    • Expect GS1: The system will expect a GS1-compliant barcode to pre-populate input registration fields including lot number, license plate number, quantity, and/or weight.
    • Custom: The system will open a basic text input dialog, and custom logic defined in a per-tenant extension handles parsing the barcode and pre-populating input registration fields.

To know more, see Consumption by entire license plate.

  1. In the Default GS1 Quantity field, enter a value to pre-populate the Input Registration page with a quantity if one hasn’t been included in the GS1 barcode.

Batching

  1. Turn on the Default Batch Consumption Quantity toggle to auto-populate the batch quantity of the component during input registration on shop floor production.
  2. Turn on the Default Batch Output Quantity toggle to auto-populate the batch quantity of the production order line during output registration on shop floor production.
  3. In the Batch Consumption Quantity Warning field, you can specify whether to display a warning message if the entered consumption quantity does not match the defined batch quantity for the component line.
  4. In the Batch Output Quantity Warning field, you can specify whether to display a warning message if the entered output quantity does not match the defined batch quantity for the production order line.
  5. In the Batch Qty. Rounding Precision field, enter the number of decimal places to round batch quantities, which will be displayed on the corresponding pages related to the shop floor production process.

The rounding precision applies to the batch quantity fields across the following pages:

    • Production order list
    • Input list
    • Register Input
    • Register Output
    • Enter a value between 0 and 5 decimal places. Common values include 0 (no decimal places), 0.1, 0.01, 0.001, 0.0001, and 0.00001. A value of 0 will set the rounding precision to the highest level (for example, 0.00001).
    • The rounding precision does not apply to the default value of the Quantity (UOM) field on the Register Input page.
  6. Turn on the Input Screen Default In Batch View toggle to open the Input page with the Batch View toggle turned on by default.

On the shop floor production Input page, when the Batch View toggle is enabled, the system calculates the Planned Batches, Registered Batches, and Remaining Batches fields based on the Batch Qty. Rounding Precision field configuration on the Shop Floor Production Setup page. These calculations are no longer derived from the Rounding Precision field value specified on the Item Card page.

Work Instructions

  1. Use the Utilize Graph API for SharePoint connection toggle to choose between using delegated permissions and application permissions via the Graph API. The system uses delegated permissions by default, but you can switch to application permissions based on your requirements.
Refer to the following points to understand the difference between delegated and application permissions.

    • Delegated Permissions: SharePoint is accessed on behalf of the signed-in user. The user must have direct access to the SharePoint site and its contents.
    • Application Permissions: SharePoint is accessed independently of the signed-in user, using a registered app. The app must have permission to access the SharePoint site, even if the user does not.

If the toggle is turned on, the system retrieves work instructions using the Graph API. Changing the connection method clears existing SharePoint connection information.
If the toggle is turned off, the system retrieves work instructions using the existing SharePoint connection.

    • This toggle is visible only when the Enable SFP in BC toggle is turned on.
    • Always run the Work Instruction Connection Assisted Setup wizard after switching to application permissions to re-establish the SharePoint link.
  2. In the SharePoint Tenant ID field, enter the Azure AD tenant ID or domain for the SharePoint tenant. Use this when the SharePoint site belongs to a different organization than the Business Central environment. Leave the field empty to use the default tenant. Examples: contoso.onmicrosoft.com or a GUID such as 12345678-1234-1234-1234-123456789012.

When this field is left empty, the SharePoint app registration is resolved in the same tenant as the Business Central environment. When the field contains a value, the connection resolves the app registration in the specified tenant — the app registration must exist in that tenant with the required SharePoint API permissions, and admin consent must be granted there.

  3. In the Client ID field, enter the unique identification number assigned to the application user.

  4. In the Client Secret field, enter the secure credentials applications to authenticate and authorize access Azure resources.
  5. In the Site URL field, enter the SharePoint webpage address which contains the instructions document library.
  6. In the Document Library Name field, enter the document library name containing the work instruction PDFs or specify where you want to store them.
For more information, see Set up work instructions.
