On the Deferred Cost Worksheet page, retrieve general ledger or item ledger entries that carry deferred cost codes, assign source details to each line, and then create deferred cost entries by running the Assign action. The following procedures describe how to perform these activities.

Get general ledger entries

To retrieve GL entries posted from the financial journal, the deferred cost code must be filled in on the journal line before posting.

  1. Select the Search icon, enter Deferred Cost Worksheet, and then choose the related link.
The Deferred Cost Worksheet page opens.
  2. Select Get G/L Entries, and then choose one of the following options:
    • Get G/L Entries: Opens a request page. Set the required filters to retrieve the relevant entries, and then select OK. Matching entries are added as worksheet lines.
    • Get G/L Entries (Manually): Opens the General Ledger Entries page sorted by entry number in descending order. Select one or more entries, and then select OK to add them as worksheet lines.
  3. On each worksheet line, fill in the required fields.

    FieldDescription
Deferred Cost CodeSpecifies the deferred cost code that classifies this entry. The Source Type field is populated automatically from the selected code.
Source No.Specifies the number of the source document, such as the harvest order number, that this deferred cost entry references.
Date FromSpecifies the start of the date range used to filter purchase receipt lines during allocation. Required when the deferred cost code has Period Method set to Date From or Date Range.
Date ToSpecifies the end of the date range used to filter purchase receipt lines during allocation. Required when the deferred cost code has Period Method set to Date To or Date Range.
Amount to AssignSpecifies the amount from this GL entry to assign as a deferred cost.
  4. Proceed to the Assign entries procedure.

Source details (source type, source number, and date range) are filled in on the worksheet at assignment time. Entering a deferred cost code on the journal line before posting tags the GL entry for retrieval via the worksheet.

Get item ledger entries

  1. Select the Search icon, enter Deferred Cost Worksheet, and then choose the related link.
The Deferred Cost Worksheet page opens.
  2. Select Get Item Ledger Entries, and then choose one of the following options:
    • Get Item Ledger Entries: Opens a request page. Set the required filters, and then select OK. Matching entries are added as worksheet lines.
    • Get Item Ledger Entries (Manually): Opens the Item Ledger Entries page sorted by entry number in descending order. Select one or more entries, and then select OK to add them as worksheet lines.
  3. On each worksheet line, fill in the required fields as described in step 3 of Get general ledger entries.
  4. Proceed to the Assign entries procedure.

For item ledger entry lines, the worksheet also shows read-only Quantity (Base), Qty. per Unit of Measure, and Base Unit of Measure fields for reconciling the purchase quantity against the base unit of measure quantity. These fields are hidden by default — turn them on from the Personalize menu if needed.

Assign entries

After all worksheet lines are complete, run the Assign action to create deferred cost entries.

  1. On the Deferred Cost Worksheet page, verify that all lines have a Deferred Cost Code, a Source No., a Quantity to Assign (for item ledger entry lines), and an Amount to Assign (for general ledger entry lines). Where the deferred cost code has Period Method = Date From, Date To, or Date Range, confirm that the corresponding date fields are filled in.
  2. Select Assign, or press F9.
A deferred cost entry is created for each worksheet line. For item ledger entry lines applied to purchase receipts, a negative inventory adjustment is also posted. All worksheet lines are removed and a confirmation message is shown.

Deferred cost entries are not created automatically when a GL or item ledger entry is posted. Run Assign on the worksheet to create them.
