Allocate deferred costs
On the Deferred Cost Allocation page, distribute deferred cost entries across posted purchase receipt lines. Two allocation paths are available: Allocate for immediate processing, and Allocate Manually for reviewing and adjusting the proposed distribution before posting.
Deferred cost allocation applies to posted purchase receipt lines only. Allocation to sales documents and purchase return shipment lines is not supported.
Prerequisites
- One or more deferred cost entries exist with Remaining Amount to Allocate greater than zero. For more information about creating deferred cost entries, see Manage the deferred cost worksheet.
- Posted purchase receipt lines exist for the harvest order within the applicable date range.
- For the Surface and Weight allocation method, plot sizes are defined on the relevant plots and net weights are defined on the relevant items. For more information, see Integration with Aptean Commodity Harvest Planning.
Open the allocation page
- Select the Search icon, enter Deferred Cost Entries, and then choose the related
link.
The Deferred Cost Entries page opens. - Select an entry with Remaining Amount to Allocate greater than zero.
- Select Show Allocation, or press Alt+F9.
The Deferred Cost Allocation page opens for the selected entry. - In the Amount to Allocate field on the relevant allocation line, enter the amount to distribute in this run. The value must not exceed Remaining Amount.
Allocate directly
Use this path to calculate and post the allocation in a single step.
- On the Deferred Cost Allocation page, select Allocate, or press Ctrl+F9.
A request page opens with filters pre-filled from the deferred cost entry. -
Review and adjust the filters as needed.
Field Description Harvest Order No. Specifies the harvest order to which the allocation is applied. Pre-filled from the source on the deferred cost entry. Harvest Order Line No. Specifies a specific harvest order line. Pre-filled when the source type is Harvest Order Line. Leave blank to include all lines under the harvest order. Posting Date From Specifies the start date for filtering posted purchase receipt lines. Pre-filled from the deferred cost entry when a value exists. Posting Date To Specifies the end date for filtering posted purchase receipt lines. Pre-filled from the deferred cost entry when a value exists. -
Select OK.
The system calculates and posts the allocation. Trade cost orders are created for each receipt line, and the Allocated Amount and Remaining Amount on the deferred cost entry are updated.
Allocate using the allocation details page
Use this path to review, adjust, or selectively exclude receipt lines before posting.
- On the Deferred Cost Allocation page, select Allocate Manually, or press
Ctrl+Shift+F9.
The Deferred Cost Allocation Details page opens with pre-calculated lines—one per matching posted purchase receipt line. - Review the proposed lines. Each line shows the receipt reference and the calculated allocation amount.
- Optionally, edit the Allocated Amount on individual lines or delete lines to exclude specific receipts from this allocation run.
- To add receipt lines, select Get Purch. Receipt Lines, adjust the request page, and
then select OK.
New lines are added for receipts not already present. All allocated amounts are recalculated, overriding any manually entered values. -
To post the allocation, select Post, or press F9.
Trade cost orders are created for each remaining line, and the deferred cost entry amounts are updated accordingly. The following totals are shown on the page:
Field Description Total Amount to Allocate (LCY) Specifies the total amount entered on the parent deferred cost allocation entry. Total Allocated Amount (LCY) Specifies the sum of amounts on the current allocation lines. Must not exceed Total Amount to Allocate at the time of posting.
Partial posting is supported. Delete lines for receipts that should be excluded, and then post the remaining lines. The deferred cost entry's remaining amount decreases only by the posted total. The excluded receipts remain available for a subsequent allocation run.
Allocation methods
Surface and weight
This method distributes costs in two steps:
-
Plot surface split — The system resolves the plot linked to each posted purchase receipt line via the harvest order line. The total allocation amount is split across plots in proportion to the plot size (in square metres as defined on the harvest order line at the time of assignment).
-
Net weight split within each plot — The plot's share of the amount is further distributed across individual receipt lines in proportion to the receipt quantity multiplied by the net weight per unit of measure (as stored on the posted purchase receipt line).
When the source type is Harvest Order Header, receipts from all lines under the harvest order are included and the surface step distributes across all plots. When the source type is Harvest Order Line, only receipts linked to that specific line are included. Because each harvest order line references a single plot, the surface step results in a 100% allocation to that one plot, and the weight step distributes across all receipts for the line.
Weight
This method distributes costs in proportion to the receipt quantity multiplied by the net weight per unit of measure. No surface step is performed.
When the deferred cost code has Period Method set to Date From, Date To, or Date Range, a date range filter is applied when selecting receipt lines. The date range is pre-filled on the request page from the deferred cost entry and can be adjusted before confirming.
Posted purchase receipt lines with zero or negative quantities are excluded from the allocation calculation. If a receipt line is linked to a harvest order line where the plot size or net weight is zero, that line is skipped during the Surface and Weight calculation. When all eligible lines have a zero plot size, the system displays an error and blocks the allocation. When the Weight method is used and all eligible lines have a zero net weight, the system displays an error and blocks the allocation.
