Transport route assignments
The Transport Route Assignments page allows you to create route assignments for specific customers, vendors, and locations. These assignments automatically assign transport routes and update stop sequence numbers to the following documents:
- Purchase orders
- Purchase return orders
- Sales orders
- Sales return orders
- Transfer orders
These details are also available in the following posted documents:
- Posted purchase receipts
- Posted purchase return shipments
- Posted return receipts
- Posted sales credit memos
- Posted sales invoices
- Posted sales shipments
- Posted transfer shipments
The transport route code is also available on the relevant Warehouse Shipment and Warehouse Receipt pages. Also, the Trailer Reference Number, Seal Number, Trailer Code, Truck Code, and Truck Reference Number fields are available on the Warehouse Shipment and Posted Warehouse Shipment pages. To know about these fields, see Transport order.
This functionality activates whenever the relevant customers, vendors, or locations are involved in the documents and when the shipment/receipt dates align with the specified timeframes and the selected days of the week.
It is not possible to have two transport route assignments with the same customer, ship-to address, and location for the same weekday, unless one is a default version and the other is non-default.
When the Allow Manual Transport Route Assignment toggle is turned on in the Sales Order or Sales Return Order page, you can manually select any Transport Route Code and Shipment Date regardless of whether the transport route is assigned to the Customer. When the toggle is turned off, you can only select Transport Route Codes that are assigned through the customer's transport route assignments. The default value of the toggle on a new document comes from the Default Allow Manual Transport Route Assignment field on the ship-to address, the customer, or the Transport Setup page, in that order. For more information, see Set up default manual transport route assignment per customer or ship-to address.
Transport route assignment hierarchy
When you create a sales order, sales return order, purchase order, or purchase return order, or when you change the Address Code, Location Code, or Shipment Date field value on the document header, the system searches the transport route assignments of the relevant customer or vendor and fills in the Transport Route Code and Stop Sequence No. field values.
For purchase documents, the Expected Receipt Date field is used instead of the Shipment Date field, and the Order Address Code field is used instead of the Address Code field. The shipment date is also re-evaluated when it changes indirectly, for example when you change the Requested Delivery Date, Shipping Time, or Outbound Whse. Handling Time field value.
The system only considers transport route assignment lines that meet all of the following conditions:
- The Source Type and Source No. field values match the customer or vendor on the document.
- The shipment date of the document falls within the Starting Date and Ending Date period of the line.
- The weekday of the shipment date is turned on for the line.
- The transport route of the line is not blocked.
Among these lines, the system applies the following hierarchy and stops at the first step that returns a transport route.
| Step | The system searches for a transport route assignment line where |
|---|---|
| 1 | The Address Code field value matches the address code on the document and the Location Code field value matches the location code on the document. |
| 2 | The Address Code field value matches the address code on the document and the Location Code field is blank. |
| 3 | The Address Code field is blank and the Location Code field value matches the location code on the document. |
| 4 | The Address Code field is blank and the Location Code field is blank. |
| 5 | No line is found in steps 1 to 4. The Transport Route Code field stays empty on the document. |
A blank Address Code or Location Code field on a transport route assignment line makes that line apply to every address or location of the customer or vendor. On the document, however, a blank field value is matched as it is. A document without a location code therefore matches only the assignment lines that also have a blank location code, which means steps 1 and 2 return the same result. In the same way, a document without an address code makes steps 3 and 4 return the same result. To assign a transport route to a document that has no location code, you must create an assignment line with a blank Location Code field.
When another route version is valid next to the default version for the same customer and route code, the version that starts on or after the default version takes precedence for its own effective period.
When no transport route runs on the shipment date
If the system reaches step 5, the outcome depends on the Auto Update Shipment Date and Update Shipment To field values on the Transport Setup page.
| Auto Update Shipment Date | Update Shipment To | Result |
|---|---|---|
| No | Not applicable | The Transport Route Code field stays empty and the system displays a notification on the document. |
| Yes | Later | The system moves the shipment date forward one day at a time and repeats the complete hierarchy for each date until a transport route is found. |
| Yes | Earlier | The system moves the shipment date backward one day at a time and repeats the complete hierarchy for each date until a transport route is found. |
The Update Shipment To field is only editable when the Auto Update Shipment Date toggle is turned on and the Aptean Shop Floor Logistics extension is installed.
If the customer or vendor has no transport route assignments at all, no transport route is assigned and no notification is displayed.
Examples
The following examples use these transport route assignment lines. Every line has the Source Type field set to Customer, the Version field set to 1, the Starting Date field set to 1/1/2026, the Ending Date field set to 12/31/2026, and the Tuesday toggle turned on.
| Line | Source No. | Address Code | Location Code | Route Code |
|---|---|---|---|---|
| 1 | C0017 | Tuesday | ||
| 2 | C0018 | S01 | Aptean WM | Tuesday |
| 3 | C0018 | S01 | Tuesday2 | |
| 4 | C0018 | Aptean WM | Tuesday3 | |
| 5 | C0018 | Tuesday4 | ||
| 6 | C0019 | S01 | Tuesday2 | |
| 7 | C0019 | Aptean WM | Tuesday3 | |
| 8 | C0019 | Tuesday4 |
In each example, a sales order is created for the customer with a shipment date that falls on a Tuesday.
Customer C0017
Customer C0017 has a single assignment line with a blank Address Code field and a blank Location Code field, so that line applies to every combination.
| Ship-to Code on the sales order | Location Code on the sales order | Transport Route Code assigned | Step |
|---|---|---|---|
| Blank | Blank | Tuesday | 1 |
| S01 | Blank | Tuesday | 3 |
| Blank | Aptean WM | Tuesday | 2 |
| S01 | Aptean WM | Tuesday | 4 |
The step that matches differs per combination because the blank fields on the assignment line are only reached once the system has replaced the corresponding document value with a blank. For the sales order with ship-to code S01 and a blank location code, steps 1 and 2 both search for address code S01, which line 1 does not have, so the line is found at step 3.
Customer C0018
Customer C0018 has an assignment line at all four levels of the hierarchy.
| Ship-to Code on the sales order | Location Code on the sales order | Transport Route Code assigned | Step |
|---|---|---|---|
| Blank | Blank | Tuesday4 | 1 |
| S01 | Blank | Tuesday2 | 1 |
| Blank | Aptean WM | Tuesday3 | 1 |
| S01 | Aptean WM | Tuesday | 1 |
| S02 | Aptean WM | Tuesday3 | 3 |
| S01 | Aptean PP | Tuesday2 | 2 |
| S02 | Aptean PP | Tuesday4 | 4 |
The sales order with ship-to code S02 and location code Aptean WM has no line of its own, so the system falls back to line 4, which has a blank address code and location code Aptean WM. The sales order with ship-to code S02 and location code Aptean PP matches no address code and no location code, so the system falls back to line 5.
Customer C0019
Customer C0019 has no line that combines an address code with a location code, so the most specific level of the hierarchy is never available.
| Ship-to Code on the sales order | Location Code on the sales order | Transport Route Code assigned | Step |
|---|---|---|---|
| Blank | Blank | Tuesday4 | 1 |
| S01 | Blank | Tuesday2 | 1 |
| Blank | Aptean WM | Tuesday3 | 1 |
| S01 | Aptean WM | Tuesday2 | 2 |
| S02 | Aptean WM | Tuesday3 | 3 |
| S01 | Aptean PP | Tuesday2 | 2 |
| S02 | Aptean PP | Tuesday4 | 4 |
For the sales order with ship-to code S01 and location code Aptean WM, step 1 finds no line. The system continues with step 2 and assigns transport route Tuesday2 from line 6, because the address code still matches and the location code of that line is blank.
