Set up sublot management
Before being able to create a sublot from an existing lot, it is necessary to set up a journal template name and journal batch name. This is essential because the function to create a sublot uses the item reclassification journal for which a journal template name and batch are used.
There can be several general journal templates in Microsoft Dynamics 365 Business Central. Each journal template is represented by a dedicated page with specific functions and the fields that are required to support those functions. For each journal template, it's necessary to set up a journal batch. The No. Series must have a value in the Item Journal Batch. If the No. Series field on the journal batch is filled, the posting function in general journals requires that the document number on individual or grouped journal lines are in sequential order. This is done by setting the field Default No. to True in the No. Series List. This will automatically fill the field with the next number in the series.
During the creation of a sublot, the item journal template name is used that is setup. A new item journal batch is automatically created with your own user name. This item journal batch name is linked to the earlier mentioned item journal name which is used by the function Create Sublot. It is important not to add any manual lines in this item reclassification journal name and batch because they are removed when using the Create Sublot function.
- Select the Search icon
, enter Sublot Management Setup, and then choose Sublot Management Setup. - Select and click the required Journal Template Name from the Item Journal Template List. This specifies the journal template that will be used when creating a sublot.
- In the Sub Lot No. Source field, select the required option.
- Item: Uses the same number series as the original lot number when generating sublots.
- SubLot Management Setup: Uses the number series defined in the Sublot Nos. field. This configuration allows sublots to follow a dedicated number series different from the lot number.
-
In the Sublot No. Source field, select the required option. The available options are:
- Item: Uses the same number series as the original lot number when generating sublots.
- Sublot Management Setup: Uses the number series defined in the Sublot Nos. field. This configuration allows sublots to follow a dedicated number series different from the lot number.
- Incremental Suffix: Uses the original lot number as the base and adds a configurable separator with a sequential two-digit numeric suffix to generate the sublot number. The suffix starts at 01 and increments based on the highest existing sublot number for that lot. When this option is selected, the Sublot Nos. field becomes non-editable.
-
In the Default Sublot Inspection Status Code field, select the inspection status that the system applies to a sublot when you create them. You can change this value before saving the sublot.
This field is visible only when the Aptean Inspection Status extension is installed.
-
Turn on the Auto Print Sublot Label toggle to automatically print the sublot label when you create a sublot.
-
Turn on the Allow Sublots for Blocked Lots toggle to create sublots from lots that are blocked or have a blocking inspection status. When it is turned off, the system prevents you from creating sublots from blocked inventory and displays an error message.
-
In the Item Reclass Doc Nos. field, select a number series that is used when creating a sublot. A new user-specific batch will be created when using this function. This series will be filled as the document number in the item reclassification journal line.
If a location exists that uses directed put-away and pick which requires that the location uses advanced warehouse functionality, the following setup must be completed as well.
-
In the Sublot Nos. field, select a dedicated number series that is used when creating a sublot.
This field is editable only when the Sublot No. Source field is set on Sublot Management Setup page.
-
In the Incremental Suffix Separator field specify the separator character(s) to be insert between the original lot number and the two-digit numerical suffix when generating sublot numbers. The two-digit suffix starts at 01 and automatically increments based on the highest existing sublot number for that lot. > Note: This field is editable only when the Sublot No. Source field is set to Incremental Suffix.
- Select and click the required Warehouse Journal Template Name from the warehouse journal template list.
The general setup is now completed.
