Create a sublot from existing lots

The sublot function creates a subdivision of a lot by splitting off the desired quantity from the "parent" lot. The resulting child, the sublot, can have a new lot number assigned and a new Lot No. Information Card will be created. The sublot can for example be used for assembly, production or for another transaction separately from the parent lot.

The Create Sublot action is available on the Lot No. Information Card page.

The item reclassification journal can be used for several reasons, such as performing 'system transfers' by reclassifying bin and location codes. When using this journal, it is possible to specify a new lot number in the Item Tracking Lines. This new lot number will take the place of the lot number selected in the Lot No. field. When a new lot number is created or assigned, information such as Test Quality and Certificate Number will be copied from the original lot number to the new lot number. When selecting an existing lot number instead of creating a new lot number, the Test Quality and Certificate Number will not be copied from the original lot to the selected existing lot.

  1. Select the Search icon , enter Lot no. Information List and then choose Lot No. Information List.
  2. Select and click the required Lot No..
  3. On the Lot No. Information Card page, on the action bar, click Actions > Create Sublot.

If you also use the Aptean Food and Beverage License Plating extension, on the Create Sublot page, on the Lot FastTab, select Location Code field. The License Plate(s) lines that contain inventory for the lot number on the selected location will be shown. Select the Create Sublot checkbox to indicate which License Plate(s) need to be sublotted. On the Sublot FastTab, fill the Sublot No. and Reason Code fields. Click OK to create the Sublot.
If it is necessary to place the created sublot on a different (new) license plate number or different location/bin code, the Item Reclassification Journal or the Move License Plate function from the Aptean Food and Beverage License Plating extension can be used.

Since the stock can be located in several locations and/or bins, it is necessary to select one location-bin combination from which you want to create the sublot.

  1. On the Create Sublot page, select and click the required Location Code from Lot No. Availability by Location.
  2. Click OK.

After selecting the location code, multiple fields are automatically filled.

  • The Bin Code field for the sublot are automatically filled.
  • The Bin Code, Quantity, and Unit of Measure Code values are automatically filled on the lines.

The system inherits license plate information in the fields on the License Plate(s) FastTab from the Aptean License Plating or Aptean Beverage Advanced Warehouse Management extension, depending on which extension is enabled on the Feature Control page.

An existing lot number can be selected for the sublot. When selecting an existing lot number, the lot number properties will not be copied to the selected lot number.

  1. Click Look up value.
  2. Select and click the required Lot No..
    Instead of selecting an existing lot number, the sublot can also be assigned to a new lot number. When assigning a new lot number, the lot number properties will be copied to the new lot number.
  3. On the action bar, click Assign Lot No.
  4. The Sublot No. field is automatically filled after assigning the lot number.
    However, if the Sublot No. Source field value on the Sublot Management Setup page is set to Incremental Suffix, the system automatically suggests a sublot number on the Create Sublot page using the original lot number, the configured separator, and the next available two-digit suffix, which increments sequentially based on the highest existing suffix for that lot. You can modify the suggested sublot number and the system validates that the number is unique within the maximum allowed field length.

  5. Click Quantity field and enter quantity.
    It's possible to select a new Location Code and new Bin Code for the sublot.

  6. Select and click the required Location Code.
  7. Select and click the required Bin Code.
  8. Click OK.
    To explain why a sublot was created, a Reason Code must be selected and an additional comment can be made in the Comment field.
  9. Select and click the required Reason Code.
  10. The Inspection Status Code field value defaults from the Sublot Management Setup page or is inherited from the original lot if no default value is configured.

    The system automatically creates an inspection tag during sublot creation when the Inspection Tags feature is enabled on the Feature Control page. It populates the inspection status code, priority, and reason code based on the defined values at creation. The sublot's inspection status is then determined by the active inspection tag with the highest priority.

    The Inspection Status field defaults to blank when the originating lot has no active inspection tags or when its active inspection tags already match the default sublot inspection status defined in the Default Sublot Inspection Status Code field on the Sublot Management Setup page.

    The system displays a warning message when selecting an inspection status code that already exists among the originating lot's active inspection tags.

    This field is visible only when the Aptean Inspection Status extension is installed.

  11. The Expiration Date field inherits its value from the original lot. If no value exists on the original lot, it remains blank. You can modify this value, and the system validates entry.

  12. Click the text area and enter the reason a sublot was created.
  13. Click OK.

The sublot is now created.

  • When reservation entries exist for this lot number, it's not possible to create a sublot.
  • Clicking the link in the notification (Open Reservation Entries) will open these specific reservation entries.

When selecting a parent lot with inventory on a location that is setup with Directed Put-away and Pick, it is only possible to create the sublot on the same location as the parent lot.

You cannot create a sublot when:

  1. Reservation entries exist for the selected lot number.

  2. The selected location is set up with directed put-away and pick and sublot is being created in another location that is also set up as location that requires directed put-away and pick.

  3. Only one location is selected, and it is set up with directed put-away and pick.

  4. The Allow Sublots for Blocked Lots toggle is turned off on the Sublot Management Setup page, and the lot is blocked or has a blocking inspection status.

To view the slaughter date:

  1. Select the required sublot. The Lot No. Information Card page opens.
  2. The Slaughter Date field value for the sublot is inherited from the parent lot.

    This functionality is available only when the Aptean Protein Essentials extension is installed.
