Work instruction worksheet and migration
Work instructions help ensure accuracy in production processes. In Business Central, you can manage these documents by uploading them to SharePoint or directly through the work instruction worksheet. The following sections describe how to upload, identify missing, and migrate work instruction files, ensuring all documents are properly linked to their respective items and work centers.
Upload work instructions to Business Central or SharePoint document library
You can upload the work instructions files to Business Central by following the steps below.
- Select the Search icon
, enter Work Instruction Worksheet or WIW, and then choose the related link.
The Work Instruction Worksheet page opens. - On the action bar, select Upload Attachment.
You can select the required file from the device and upload the attachment to SharePoint. - In the Work Center field, select the required work center number associated with the work instruction.
- In the Item field, select the item number from the dropdown for which the work instruction is displayed.
When you execute the Edit in Excel action, the work instruction worksheet data opens in an Excel file. You can modify the item number, additional description, and work center details, but you cannot add new records or delete existing ones. For more information, see Edit data in Excel.
Once configured, the system automatically saves these instructions to the designated SharePoint site and folder, as specified on the Shop Floor Production Setup page.
Alternatively, you can upload the PDF files directly to the designated SharePoint site and folder. Once the files are uploaded, open the Work Instruction Worksheet page in Business Central. The system will display all the documents stored in the SharePoint folder, allowing you to apply the necessary work center and item filters.
The work instructions associated with the work center or item can be viewed on the Instructions page from the Production Order start page.

Assign a work instruction to multiple items or work centers
You can assign a single work instruction file to multiple items or work centers using the Manage Associations action. This lets you display the same work instruction across different production scenarios without uploading the file multiple times.
A work instruction uses either the Work Center and Item field values for a single direct assignment, or mapping lines for multiple associations, but not both at the same time. When mapping lines exist for a work instruction, the Work Center and Item field values on the Work Instruction Worksheet page become non-editable.

Select the work instruction you want to assign to multiple items or work centers. The Work Center and Item field values for the selected record must be blank.

On the action bar, select Manage Associations.
The Work Instruction Mapping Lines page opens. -
For each item and work center combination, add a line:
- In the Item field, select the item number, or leave it blank to match all items.
- In the Work Center field, select the work center, or leave it blank to match all work centers.

Close the Work Instruction Mapping Lines page.
The Work Instruction Mapping Lines FactBox on the Work Instruction Worksheet page updates to show the associations you have configured.
The Manage Associations action is only available when both the Work Center and Item field values on the selected work instruction are blank. Once mapping lines exist, those fields are locked. To switch back to single-assignment mode, remove all mapping lines for that work instruction first.
You can use the Work Center and Item No. filter field values at the top of the Work Instruction Worksheet page to filter the list. These filters apply to both directly assigned work instructions and those with mapping line associations.
For example, three production lines (WC-001, WC-002, WC-003) all follow the same safety procedure. Instead of uploading the PDF three times, upload it once and add three mapping lines, one per work center, leaving the Item field value blank on each. The instruction then appears at all three work centers regardless of which item is being produced.
Identify missing work instruction files
The work instruction worksheet is used to upload and manage work instructions in SharePoint. If a work instruction file is deleted from SharePoint, its mapping data remains in the worksheet. The system highlights these records in red to help you quickly identify and manage missing files. You can then choose to remove the missing records either manually or automatically.
To identify and remove missing work instruction files, follow these steps:
- On the Work Instruction Worksheet page, select the desired record.

On the action bar, select Delete Attachment to remove the record from Business Central.
It only removes the mapping data from Business Central and does not affect SharePoint.If the record has a matching document in SharePoint, executing the Delete Attachment action also deletes the document from SharePoint. If the file is missing from SharePoint, this action has no effect on SharePoint.

Select Resolve Instructions.
A confirmation message appears, stating the number of missing records found. - Select Yes to remove all missing records from the mapping table.
Migrate work instruction documents from the SFP Power App
To transition from Shop Floor Production Power App work centers to Business Central, it is crucial to configure the work instructions within Business Central. All existing PDF work instruction files must be consolidated into a single SharePoint folder (the document library folder) specified on the Shop Floor Production Setup page.
During the migration process:
- Gather all the work instruction PDFs currently used in the Shop Floor Production Power App. Ensure that these files are organized and labeled appropriately for easy identification.
- Manually upload all the collected PDF files into a single folder within SharePoint. The folder should match the one specified on the Work Instructions FastTab of the Shop Floor Production Setup page in Business Central. This step is crucial, allowing the system to locate and associate the work instructions files.
- After uploading the files to SharePoint, open the Work Instruction Worksheet page in Business Central. The system will display all the documents stored in the specified SharePoint folder. You can assign the appropriate work center and item filters to each file, ensuring the instructions are correctly linked to the corresponding work centers and items in Business Central.
