Sales Orders

In sales orders, validations occur in the following scenarios:

  • When selecting an item in the sales order line, validations are executed based on the inclusion and exclusion lines that have the Category field as Item.
  • When selecting a lot on the Item Tracking Lines page for the sales order line, validations are executed based on the inclusion and exclusion lines that have the Category field as Grower, Certificate, and Global Attributes.

You can assign or select elements like items, growers, certificates, and global lot attributes under the following conditions: 1. The element must be configured as an inclusion on the associated profile. If there is no inclusion defined for the element, any value can be selected on the sales order. 2. The element must not be configured as an exclusion on the associated profile.

If an element is set as both an inclusion and an exclusion, it takes precedence as an exclusion.

When unsuitable elements are selected in the sales order, the system will trigger a notification or an error, depending on your configuration on the Profile Setup page. For more information, see Profile Setup.

Scenario 1

On the Profile Setup page, if the Checks field is set to On Insert, the following conditions are applied:

Validation on Sales: Notification

When you select unsuitable elements in the sales order, a notification is displayed at the top, indicating that the selected values do not align with the sales order profile. Also, the system allows you to disregard this notification and proceed with working on the sales order.

For items, a notification is triggered immediately upon selecting an unsuitable item.

In the case of growers, certificates, and global lot attributes, a notification is triggered when attempting to assign a lot that is associated with unsuitable growers, certificates, and global lot attributes on the Item Tracking Lines page for the sales order line.

Validation on Sales: Error

When you select unsuitable elements in the sales order, an error will occur. To continue working with the sales order, you will need to rectify the issue by undoing the selection of the irrelevant element.

For items, an error is triggered immediately upon selecting an unsuitable item.

In the case of growers, certificates, and global lot attributes, an error is triggered when attempting to assign a lot that is associated with unsuitable growers, certificates, and global lot attributes on the Item Tracking Lines page for the sales order line.

Sales orders that are generated through EDI ports are not considered for validation when the Checks field is set to On Insert.

Scenario 2

On the Profile Setup page, if the Checks field is set to On Release, the following conditions are applied:

Validation on Sales: Notification

When you select unsuitable elements in the sales order, the system does not trigger a notification. Instead, when you release the sales order that is assigned with unsuitable elements, a notification is displayed at the top, indicating that the selected values do not align with the sales order profile. Also, the system allows you to disregard this notification and release the sales order.

Validation on Sales: Error

When you select unsuitable elements in the sales order, the system does not trigger an error. Instead, when you release the sales order that is assigned with unsuitable elements, an error will occur. To release the sales order, you will need to rectify the issue by undoing the selection of the unsuitable element.

This works similarly when assigning or selecting the lot for the sales order lines.

The system does not trigger a notification or an error when an item is set as an inclusion while the global lot attribute associated with that item is set as an exclusion. In such a scenario, the system triggers a notification or error only when you attempt to assign a lot to that item.

Sales orders that are generated through sales quotes are not considered for these validations.

Profile validation during warehouse picking

Profile validations are applied during warehouse picking.

During warehouse picking, validations occur in the following scenarios:

  • When lots are selected automatically during pick creation (including FEFO), validations are executed based on the profile inclusion and exclusion rules.
  • When a lot is selected or entered manually on the warehouse pick line, validations are executed based on the profile inclusion and exclusion rules for growers, certificates, items, and global attributes.

You can assign or select a lot during warehouse picking under the following conditions:

  1. The lot attributes must be configured as an inclusion on the associated profile. If there is no inclusion defined, any lot can be selected.
  2. The lot must not be configured as an exclusion on the associated profile.

If a value is set as both an inclusion and an exclusion, it takes precedence as an exclusion.

When a non-compliant lot is selected during warehouse picking, the system triggers a notification or an error, depending on the configuration on the Profile Setup page.

Scenario 1

On the Warehouse Pick page, when the item requires lot selection and is controlled by profiles, the following behaviour is applied:

Profile validation: Filtering

When the system retrieves available lots for a pick line, only profile-compliant lots are displayed.

  • The system filters lots based on the Profile Inclusion Line and Profile Exclusion Line rules.
  • Only lots that satisfy all applicable profile rules are available for selection.
  • You can select only from the filtered list, and the pick line is updated with the selected lot.

If no lots meet the profile criteria, the lot selection list is empty, and the system displays an informational message indicating that no compliant lots are available.

Profile validation: Error

When a lot that does not meet the profile rules is assigned:

  • The system blocks the assignment.
  • The system displays an error message indicating why the lot cannot be used.

If the item has no profiles configured, the system allows standard lot selection without filtering.

Scenario 2

On the Warehouse Pick page, when a lot is manually entered or scanned for an item that is controlled by profiles, the following behaviour is applied:

Manual lot validation: Notification

When the user manually enters or scans a lot number, the system validates the lot against all applicable profile rules.

  • If the lot meets all profile inclusion line rules and does not violate any profile exclusion line rules, the system accepts the lot.
  • The pick line is updated with the selected lot.

If the item is subject to multiple profiles, the lot must pass validation for all active profiles. If profile validation is unavailable, the system allows the assignment with a warning.

Manual lot validation: Error

When the manually selected lot does not meet the profile rules:

  • The system blocks the assignment.
  • The system displays a profile-specific error message explaining why the lot cannot be used.
  • The pick line remains unassigned, and the user must select another lot.

If the lot information is incomplete, the system displays an error and prevents validation until the required data is available. If multiple profiles define conflicting rules, the system applies the most restrictive combination and blocks the assignment.

Scenario 3

On the Warehouse Pick page, when first expired, first out (FEFO) picking is applied to an item that is controlled by profiles, the following behaviour is applied:

FEFO profile validation: Notification

When the system selects a lot using FEFO logic, the system evaluates only profile-compliant lots.

  • The system applies profile validation to the FEFO-sorted lot list.
  • The system selects the earliest expiring lot that satisfies all profile rules.
  • The pick line is populated with the selected lot.

If the earliest expiring lots do not meet the profile rules, the system skips them and selects the next earliest profile-compliant lot.

If profile rules include expiration date or minimum shelf-life requirements, the system applies these rules during FEFO evaluation.

FEFO Profile Validation: Error

When no available lots satisfy the profile rules:

  • The system does not assign any lot.
  • The system displays a warning or error indicating that no profile-compliant lot is available.
  • The pick line remains unassigned.

If FEFO configuration conflicts with profile rules, the system enforces profile rules and blocks the selection.

If a selected lot becomes invalid due to expiration or shelf-life rules during picking, the system re-evaluates and replaces the lot if possible.

Posting shipments

Validation for sales orders against profiles is executed when posting the sales order, sales shipment, warehouse shipment, and inventory pick, but only if the Checks field on the Profile Setup page is set to the On Release option. When a sales order contains multiple lines, and if any one of these lines is associated with unsuitable elements, the system prevents the posting of the shipment or inventory pick. You can access the error details on the Error Messages page, which assists you in identifying and addressing the issues.

Validation is applied only to the sales order lines that have a value in the Qty. to Ship field when posting the shipment or inventory pick.
