Manage item purchasers

You can designate an employee as an item purchaser. The item purchaser is responsible for managing the inventory and purchasing. This improves inventory management and defines clear responsibility across transactions.

Set up item purchasers

To set up an item purchaser, follow these steps:

  1. Navigate to the Salespeople/Purchasers page and define a purchaser.

For more information, see Set up purchasers.

  2. Navigate to the relevant Item Card page.

  3. On the Replenishment FastTab, in the Purchase section, in the Purchaser field, select the item purchaser from the list of purchasers available on the Salespeople/Purchasers page.

The item purchaser is set up.

  • The Purchaser field is not visible by default and must be added via personalization.
  • The Purchaser field is available on the Items list page, and you can filter items based on item purchasers.

Assign a purchaser to a stockkeeping unit

A purchaser can also be assigned at the stockkeeping unit level, for a specific combination of item, location, and variant. When a stockkeeping unit has a purchaser assigned, it takes precedence over the item's purchaser for that exact item, location, and variant combination.

To assign a purchaser to a stockkeeping unit, follow these steps:

  1. Navigate to the relevant Stockkeeping Unit Card page.
  2. On the Replenishment FastTab, in the Purchase section, in the Purchaser field, select the item purchaser from the list of purchasers available on the Salespeople/Purchasers page.

The stockkeeping unit purchaser is set up.

  • The Purchaser field is not visible by default and must be added via personalization.
  • When a new stockkeeping unit is created using the Create Stockkeeping Unit function, the Purchaser field value is inherited from the item.
  • A stockkeeping unit purchaser is only used in place of the item purchaser when its variant code exactly matches the variant code on the line. A stockkeeping unit with a blank variant code is never used for a line that specifies a variant code.
  • A purchaser cannot be deleted from the Salespeople/Purchasers page while it is assigned as a purchaser on an item or a stockkeeping unit.

Manage item purchasers in sales and purchase documents

The system automatically updates the Item Purchaser field value when an item is added on the Lines FastTab of any of the following pages:

  • Sales Order
  • Blanket Sales Order
  • Sales Quote
  • Sales Invoice
  • Sales Credit Memo
  • Sales Return Order
  • Purchase Order
  • Blanket Purchase Order
  • Purchase Quote
  • Purchase Invoice
  • Purchase Credit Memo
  • Purchase Return Order

On sales documents, the Item Purchaser field value is always taken from the associated Item Card page.

On purchase documents, the Item Purchaser field value is taken from the stockkeeping unit matching the line's item, location, and variant code, if a purchaser is assigned there. Otherwise, it is taken from the associated Item Card page. The field value is re-evaluated whenever the Location Code or Variant Code field value changes on the line.

Further, you can manually update the Item Purchaser field value as required.

  • The Item Purchaser field is not visible by default and must be added via personalization.
  • The system inherits the Item Purchaser field value on:
  • The Sales Lines and Purchase Lines pages.
  • All the related posted and archived documents.
  • You can filter items based on item purchasers on all pages.

Manage item purchasers on requisition lines

For items with the Replenishment System field value set to Purchase, the standard Purchaser Code field on a requisition line is automatically populated using the same stockkeeping unit-then-item hierarchy used on purchase document lines. This applies when:

  • The No. field is entered or changed on a requisition line.
  • The Location Code or Variant Code field value is changed on a requisition line.
  • Requisition lines are generated by Calculate Plan, Refresh Planning Demand, or other planning functions, from either the Planning Worksheet or the Requisition Worksheet.

For items with any other Replenishment System field value, the Purchaser Code field is not affected by this behavior.

Further, you can manually update the Purchaser Code field value as required.

  • A manually entered Purchaser Code field value is not overwritten by the automatic hierarchy.
  • When a requisition line is transferred to a purchase order using Make Order, the Item Purchaser field value on the resulting purchase line is derived independently from the purchase line's own item, location, and variant code - the requisition line's Purchaser Code field value is not copied across.
