Get lines to reverse by using the Return Entry
The Get Lines to Reverse action on the Return Entry page retrieves posted sales shipment lines for the sell-to customer, so that returns always reflect the exact pricing and conditions of the original shipment — including free items, promotional pricing, and historical excise and deposit values. The original unit price and line discount percentage are carried over from the shipment and are not recalculated.
Prerequisites
Before using the Get Lines to Reverse action:
- The customer must have at least one posted sales shipment with item lines.
- The posted sales shipment must contain lines that have not been fully reversed.
Open the Return Entry page
The Return Entry page is available from three entry points. The pre-filtering of the Posted Sales Shipment Lines page depends on which entry point is used.
From a Sales Order:
-
Open the Sales Order page.
-
Select the Return Entry action.
The Return Entry page opens. When the Get Lines to Reverse action is used, the Posted Sales Shipment Lines page is pre-filtered to shipment lines linked to this sales order.
From the Route Planning Worksheet:
-
Open the Route Planning Worksheet page.
-
On a route planning line, select the Return Entry action.
The Return Entry page opens. When the Get Lines to Reverse action is used, the Posted Sales Shipment Lines page is pre-filtered to shipment lines linked to the sales order associated with the selected route planning line.
From a Sales Return Order:
-
Open the Sales Return Order page.
-
Select the Return Entry action.
The Return Entry page opens. When the Get Lines to Reverse action is used, the Posted Sales Shipment Lines page shows all posted shipment lines for the sell-to customer — not filtered to a specific order.
Get lines to reverse
-
On the Return Entry page, select the Get Lines to Reverse action.
The Posted Sales Shipment Lines page opens with lines pre-filtered based on the entry point. -
Use the filter fields to refine the selection:
Field Description Item No. Filter the lines by item number. Item Description Filter the lines by item description. Order No. Filter the lines by the originating sales order number. Shipment Date Filter the lines by the date the goods were shipped. Customer No. Filter the lines by sell-to customer number. This field is auto-populated from the document context and can be changed to show shipment lines for a different customer. Lines where the full shipped quantity has already been returned do not appear in the lookup. The Remaining Qty column shows the shipped quantity minus the quantity already returned. For lines that have not been partially returned, the remaining quantity equals the original shipped quantity.
-
Select the lines to return and choose the OK button.
Lines are inserted on the Return Entry page with the remaining returnable quantity, unit price, and line discount percentage from the original shipment.- If no posted shipment lines exist after filtering, the message There are no posted sales shipment lines to reverse for customer [No.] is displayed and no lines are imported.
- When an item was shipped as a free item (unit price = 0), the 0.00 price is preserved — standard Business Central pricing is not applied.
- Manually entered lines on the Return Entry page are not affected by the imported lines. Manually entered lines have their unit prices recalculated at the return date as normal.
Adjust quantities
After lines are imported, review and adjust quantities as needed.
- The quantity on each imported line defaults to the remaining returnable quantity — the original shipped quantity minus any quantity already returned.
- The quantity can be reduced to register a partial return.
- The quantity cannot be increased beyond the remaining returnable amount.
Apply changes
-
After reviewing and adjusting the quantities, select the Apply Changes action.
Lines are routed based on the item type and the Ret. Entry to ROrd. and Full Ret. Entry to ROrd. field values on the Sales Header:Ret. Entry to ROrd. Full Ret. Entry to ROrd. Empty Good lines Full Good lines No No Added to the Sales Order Added to the Sales Order Yes Yes Added to a new Sales Return Order Added to a new Sales Return Order Yes No Added to a new Sales Return Order Added to the Sales Order No Yes Added to the Sales Order Added to a new Sales Return Order Empty Good lines and Full Good lines are always routed independently based on the configuration above.
For example, a logistics employee opens the Return Entry page from a Sales Order for customer C00010. The order was shipped the previous week and included a promotional item with a unit price of 0.00. The employee selects the Get Lines to Reverse action, and the Posted Sales Shipment Lines page opens pre-filtered to shipment lines linked to that order. The employee selects three lines — including the free-item line — and chooses OK. The lines appear with the original prices, including 0.00 for the free item. The employee reduces the quantity on one line for a partial return, then selects the Apply Changes action. The Empty Good lines are added to a new Sales Return Order, and the Full Good lines are added as negative reverse lines on the original Sales Order.
