Place a hold on sales order lines for pricing

You can place a hold on sales order lines to prevent them from being invoiced due to ongoing pricing negotiations, for example, if the salesperson wants an additional discount or if a customer is negotiating prices via email.

To place a hold on a sales order line,

  • In the Invoice Hold Status field, select Hold - Pricing.

This field is visible only via personalization.

The system excludes the sales order line with this status when invoicing the sales order.

  • The system excludes sales order lines that are put on hold when creating a consolidated sales shipment via the Combine Sales Shipment and Combine Shipment By pages.
The Combine Shipment By page is available only when the Aptean Combine Shipments per Period extension is installed.
  • The system does not display the sales order lines that are put on hold on the Get Shipment Lines page accessed via the Get Shipment Lines action on the Sales Invoice page.
  • When sales order lines of the main item are put on hold, the system sets the Invoice Hold Status field value to Hold - Pricing for the associated packaging item lines only when the Allow Packaging Recalculation checkbox is selected for the packaging lines. The system automatically updates the status of the packaging lines when the status of the associated sales order lines is updated.
This functionality is applicable only when the Aptean Packaging extension is installed.

When pricing discussions are settled, you can remove the hold placed in the sales order lines by updating the Invoice Hold Status field value to Approved.

Set the Invoice Hold Status on all eligible lines at once

Instead of updating the Invoice Hold Status field line by line, you can apply the same status to all eligible lines on an open sales order in a single action.

  • To place a hold on all eligible lines, on the Sales Order page, on the action bar, click Actions > Functions > Set All Lines to Invoice Hold.
  • To remove the hold from all eligible lines, on the Sales Order page, on the action bar, click Actions > Functions > Set All Lines to Invoice Approved.

Both actions are available only while the sales order Status field value is Open, and only apply to sales lines that:

  • Are of the type Item.
  • Have not yet been invoiced, i.e., the Quantity Invoiced field value is 0.
  • Do not already have the Invoice Hold Status field value that the action is setting.
  • Are not automated packaging item lines.
Automated packaging lines are not updated directly by these actions; their Invoice Hold Status field value instead follows the associated main item line automatically, as described above.
This exclusion is applicable only when the Aptean Packaging extension is installed.

Sales lines that have already been partially or fully shipped, i.e., the Quantity Shipped field value is not 0, and currently have a blank Invoice Hold Status field value, are left unchanged by the Set All Lines to Invoice Hold action. This is because the system does not allow a shipped line to change from Blank to Hold - Pricing or Approved.

If none of the sales lines on the sales order are eligible for the selected action, the system displays a message, and no lines are updated.

On sales order lines that have been partially or fully shipped, the Invoice Hold Status field value can only be changed between Hold - Pricing and Approved.
The field value cannot be cleared (set to Blank) or set from Blank on these lines, whether it is changed on the individual line or through the Set All Lines to Invoice Hold and Set All Lines to Invoice Approved actions.

View whether a sales order has lines on hold

The read-only Invoice Hold Present field on the Sales Order page and the Sales Orders list page shows Yes when at least one sales line on the sales order has the Invoice Hold Status field value set to Hold - Pricing, and No when no sales lines are on hold. Use this field to identify or filter sales orders that have sales lines on hold without having to open and check each sales order individually.
